InovAnalytics is a technology company in the field of statistics and data science. The core mandate of the company is providing research, statistical data analysis and modelling software as a service (SaaS) for both individuals and organisations. The software offers user friendly interface and tools that can help researchers from various fields to create, configure and deploy multiple research projects quickly. The software has features that also allow datasets to be imported from other data sources for analytics and data visualization purposes. This is because the platform has in built statistical data modelling and visualization engine that can help researchers to analyse data in realtime.

InovAnalytics is dedicated to complying with data and privacy protections laws applicable to different markets around the globe, hence our willingness to share to our customers and prospective customers on how we process and protect their data.

Data Collection, Purpose, and Storage

Website Data Processing

When our visitors access our website, there are some basic information that we collect about the visitor for various use cases which in most of the time is for administrative ,security and website performance reasons as outlined below:

  • Date and time of website access
  • Data/file transfer size
  • Name and link of the file retrieved/accessed
  • Website from which access is made/proxy server where applicable
  • Browser profile which was used to connect to our website as well as the machine profile (e.g. Operating system information and IP address) and the name of ISP used.

Newsletter Subscription

When our visitors access our website they will be met with a newsletter subscription form that they can fill in willingly. The form only accepts the name, surname, and email address of the user. The main purposes of the newsletter form are to collect basic user information for purposes of sending them periodic information about our new product features and offering even if they are not yet customers. This process is merely for information dissemination about our company to only interested website visitors. Subscribers can decide to unsubscribe from our newsletter mailing list with a click of a button.

Data Processing at Customer Level

Data processing happens at two levels namely:

  • Company level where customer data is collected by InovAnalytics
  • Customer Level data processing where data is being collected by our customers from their survey respondents.

Company Level Data Processing

The following are data that is usually collected by InovAnalytics from customers

Full Name Need to have a record of our customers for administrative purposes
Email Need to have a record of our customer emails for customer account logging/entry purposes and dispatch of notifications to customers as well as for administrative purposes
Customer Organization For the customers who are organizational, there is a need to know the name of the organization for reference purposes including invoicing, receipting and other administrative reasons
Position For organizational customers, it is necessary to know the job position of the account owner who created the InovSurveys account on behalf of their organization/company
Country Need to know the country of residence for our customer mainly for administrative reasons including currency exchange
City Need to know the city of residence of our customers, mainly for invoicing and receipting purposes
Physical Address Need to know the physical address of our customers, mainly for invoicing and receipting purposes
Postal Address Need to know the postal address of our customers, mainly for invoicing and receipting purposes
Storage of customer surveys data/customer content We provide data storage on behalf of our customers who mostly collect the data from their surveys respondents and other sources which form customer content. The surveys data being stored varies depending on the type of surveys the customers conduct including audio, images, GPS, qualitative data and numeric data collected from the surveys. However, InovAnalytics has no access and rights to customer content, only provide storage and processing services.
Credit/Debit Card information processing InovAnalytics do not store debit/credit card information of customers in our database, however we only receive the cards information after the payment form is filled. Credit/debit card information is only processed by our accreditted and PCI compliant credit/debit card processors/partners. Please refer to our Terms and Conditions of Service for more information on processing of credit/debit cards information of customers. This applies only to already registered customers in our platform.

Customer Level Data Processing

The following are data that is usually collected by InovAnalytics from customers

Data Collected Reasons
Survey Respondents Information Customers will create and deploy surveys to collect data about their target population. The type of data collected by customers when administering their surveys will vary from survey to survey since they will depend on the question type which seek to collect the data. Some surveys will collect location information including GPS coordinates, while some surveys will collect images and audio as data from the respondents. The reason for usage of respondents’ data will also vary from survey to survey, hence the customer is always required to stipulate the intentions of the survey to their target population so that they can decide for themselves if they want to participate in the survey or not.
Target Population Contact List Need to have a record of our customer emails for customer logging/entry purposes into their account as well as administrative purposes
IP Address and location information of account users Each time when a customer/account owner/team members performs a CRUD operation in the system, the system gets the IP address of the machine originating the connection/request. The IP Address is then sent to Third Party Service Provider through an API to collection information on location, Country, City, and ISP. This is solely done to log every crud activity by the user. IP Address information of users is used by the customers themselves not our company. It is meant for logging user activity/audit trail for accountability/responsibility and security of Account Owner data. It is also meant to validate customer data if they have been compromised by criminal activities using the customer/their team members accounts to gain entry.

Customer Rights to Data Processing and Management

InovSurveys users have a right to perform the following functions on their data:

Data Processing Description
Edit/update account details Customers can edit/update or delete any of their account information.
Export/backup collected data InovAnalytics customers can export their data to either csv, excel and SPSS. Customers can also export their audio and image responses from surveys. All these data is collected from surveys deployed by customers. Exporting data can serve as a form of datasets backup for customers, hence the need to always export their datasets to their local storage media.
Restore Backup Data InovAnalytics can allow customers to be able to independently execute restoration of account from backup up data.
Restore Accidental Account Deletion InovAnalytics can be allowed to restore account which have been accidentally deleted by contacting InovAnalytics support team within 15 days. This is part of our Customer Data Loss and Recovery Strategy which enables data deleted data to be kept on backup storage for 15 days before permanent removal.
Delete collected surveys data InovAnalytics can also delete their surveys data if they deem fit after they complete their surveys. They can do that to avoid keeping their completed surveys datasets online.
Cancel/Delete account InovAnalytics customer have the right to permanently delete/cancel their account. This is accomplished through a click of a button. However, customers will be required to confirm if they indeed want to cancel/terminate their accounts. The only person who can cancel/terminate an account is the Account Owner or any other user who have been commissioned by the Account Owner through the permissions interface to delete/cancel an account. Upon termination/cancellation of the account, all content linked to the customer account will be permanently deleted. The customer will be given only 2 weeks to reverse the account termination incase the account was accidentally terminated or was an act of sabotage.

Cookies and Web Analytics

When users give us consent to use cookies for our web analytics purposes, InovAnalytics use the data to improve user experience. We and our partners are using technologies like cookies, hence we process personal data like the IP-address or browser information in order to improve user experience. We also use website usage statistics to determine the origin and preferences of website visitors by country and region in order to customize, localize and align our website content.
